Electronic visit verification and timesheets

Two records have to agree before you can be paid: the electronic record of your visits, and the biweekly timesheet you and the consumer both sign. Get them right and pay is routine. Get them wrong and pay is late.

What EVV is

Electronic visit verification records that a visit happened — when it started and when it ended. Every state requires it for Medicaid personal care services under the federal 21st Century Cures Act. It is not optional and it is not a Communicare Elite policy.

Recording a visit correctly

  1. Record the start when you begin work — not when you leave home, not when you park.
  2. Do the authorized tasks.
  3. Record the end when you finish — not later that evening from your kitchen.
  4. If the system fails, note the real times immediately and tell us the same day. Do not reconstruct a week later from memory.

Record in real time. Batch-entering a week of visits on Friday is the fastest way to create a discrepancy between EVV and your timesheet — and discrepancies are exactly what audits look for.

The timesheet

Missouri law requires timesheets signed by both the consumer and the attendant, submitted to the vendor biweekly. Your signature certifies that the hours are accurate. So does theirs.

Before you sign, check:

  • Every date and time matches what actually happened.
  • Nothing appears for days you were not there.
  • Nothing is claimed for periods the consumer was hospitalized or away.
  • Tasks recorded are within the authorized care plan.
  • The total stays within the authorized hours.
  • Both signatures are present.

The line you must not cross

Never ask a consumer to pre-sign a blank timesheet. Never record time you did not work. Never let someone else record visits under your name.
